# AI agents for logistics, ports and transport

Every shipment, shift and invoice in logistics comes with paperwork that someone checks by hand against another system. AI agents can take on that checking. Infosistema connects them to your operational, document and finance systems, so the work moves without a person re-typing it.

## At a glance

- Infosistema connects AI agents to the terminal, transport, workforce, document and finance systems of ports, carriers, rail and air operators and fleet companies.
- Typical first processes are freight and customs documents, carrier invoice checks, shift and crew changes, customer shipment enquiries and supplier contract renewals.
- Every engagement starts with a three-week analysis sprint that ends in a decision per process, and every agent starts in shadow or supervised mode.
- Agents work on administrative and planning processes; vehicle control and traffic-safety functions stay out of scope.
- The Hampton Roads Shipping Association in the United States uses Infosistema's DMM to keep Portmaster, its port workforce system, in sync across environments; TAP Air Portugal, CP (Comboios de Portugal) and ALD Automotive are Infosistema clients.

## Where do AI agents fit in logistics and transport?

Wherever a document arrives, gets checked against a booking, an order or a rate, and then gets keyed into another system. The 5 processes below are where we usually start.

### Freight and customs documents

The agent reads bills of lading, delivery notes, packing lists and customs declarations, checks them against the booking and fills in the transport and customs systems. Missing or conflicting data goes to a person with the discrepancy marked.

- **Stays with people:** customs decisions, dangerous-goods checks and any document the agent can't reconcile.
- **Systems:** transport or terminal management, customs platform, document inbox.

### Carrier and supplier invoice checks

The agent matches each carrier invoice to the order, the proof of delivery and the agreed rate, approves the matches and prepares a dispute file for the rest.

- **Stays with people:** disputes, rate changes and payments above the agreed threshold.
- **Systems:** transport management, ERP, rate tables, email.

### Shift, crew and roster changes

The agent handles swap requests, absences and availability against the roster rules and the labour agreement, and tells each person what changed by email or SMS.

- **Stays with people:** rule exceptions and anything the labour agreement leaves to a supervisor.
- **Systems:** workforce or dispatch system, HR system, messaging.

### Customer shipment enquiries

The agent answers "where is my shipment?" and "why is it late?" from live tracking data, opens claims for damage or delay with the evidence attached, and keeps the customer updated.

- **Stays with people:** claim settlements and key accounts.
- **Systems:** tracking, CRM, claims, customer portal.

### Supplier, lease and maintenance contracts

The agent finds contracts for leases, maintenance, software and subcontracted transport, extracts dates and renewal terms, and warns before each renewal.

- **Stays with people:** keep, renegotiate or cancel.
- **Systems:** email, Google Drive, ERP; [bizSupply](https://www.infosistema.com/products/bizsupply/) does this as a product.

## What makes agents hard to run in logistics?

Volume, many parties and systems that each belong to a different company.

- **Many counterparties.** Shippers, carriers, agents and authorities each send documents in their own format. The analysis sprint measures how structured they really are before anything is built.
- **NIS 2.** Air, rail, water and road transport operators are in scope. Agents and their providers sit inside your cybersecurity obligations, with access control and logging.
- **EU AI Act.** AI used as a safety component in road traffic management is high-risk. Our agents stay on administrative and planning work.
- **Labour rules.** Roster and shift decisions affect people's pay and rest. Agents apply the agreement; a supervisor decides on exceptions.

## How does Infosistema start?

With a three-week analysis sprint on a defined scope, for example import documents at one terminal or carrier invoices for one region.

1. **Week 1:** map the processes, parties and systems, and short-list up to five candidates.
2. **Week 2:** score each process for impact and readiness, and analyse it step by step against a baseline measurement.
3. **Week 3:** estimate build and monthly operation for each agent, then recommend agent, agent with conditions, classic automation, or not yet.

Quick wins can start in supervised mode from week 2. An agent earns more autonomy only when its results against the baseline justify it and you approve the step.

## Which Infosistema products and partners help?

- **[bizSupply](https://www.infosistema.com/products/bizsupply/):** finds contracts in your mailbox and Google Drive, extracts the supplier, dates, value and renewal terms, and alerts before each renewal.
- **[DMM](https://www.infosistema.com/products/dmm/):** moves and anonymises production data into test and quality environments for OutSystems applications, so operational systems can be tested with realistic data.

## What has Infosistema built in logistics and transport?

- [Portmaster data migration at the Hampton Roads Shipping Association](https://www.infosistema.com/case-studies/portmaster-data-migration-at-hampton-roads-shipping-association/): Portmaster assigns port shifts to more than 2,200 active employees, who get their assignments by email or SMS. The association uses DMM to move production data into its quality and development environments.
- [Port of Hampton Roads](https://www.infosistema.com/case-studies/port-hampton-roads/): "We gained the ability to very easily synchronize our environments without spending our own time building the scripts," says Mick Drevyanko, IT Director.
- Transport clients on our [clients page](https://www.infosistema.com/clients/) include TAP Air Portugal, CP (Comboios de Portugal) and ALD Automotive.

## Frequently asked questions

### Which logistics processes are best for AI agents?

Document-heavy ones with a clear reference to check against: freight and customs documents, carrier invoices, shift changes and shipment enquiries. The analysis sprint confirms which ones pay off for you, and where classic automation is cheaper.

### Can an agent read documents from many different senders?

Yes, within limits we measure first. The sprint samples real documents from your counterparties, and an agent starts in shadow mode until its accuracy on them meets the agreed threshold.

### Do agents take decisions on vehicles or traffic?

No. Traffic-safety functions are high-risk under the EU AI Act and stay with the operational systems built for them. Our agents work on documents, invoices, rosters and customer service.

### How do agents connect to systems we don't own, such as a port community system?

Through the interfaces those systems already offer to you (APIs, EDI, portals or files), with the same permissions your team has today, and Infosistema builds and maintains each of those connections.

### Do you work outside Portugal?

Yes. The Hampton Roads Shipping Association in Virginia, United States, is a DMM customer, and DMM is used by more than 200 organisations in more than 50 countries.
