AI agents for finance teams

Finance teams spend a large part of the month matching, checking and chasing: invoices against orders, suppliers against registries, balances against statements. AI agents can do the matching and the chasing and leave your team the judgment. Infosistema connects them to your ERP, banks and documents, and every posting they prepare stays traceable for the auditor.

At a glance

  • Infosistema connects AI agents to the ERP, banking, procurement and document systems of finance teams and the CFO office.
  • Typical first processes are supplier invoice capture and approval, supplier tax and Social Security checks, contract renewals, bank and intercompany reconciliations, and month-end preparation.
  • Agents prepare and propose; postings, payments and approvals above an agreed threshold stay with people, and every step is logged for audit.
  • Every engagement starts with a three-week analysis sprint that estimates, before any decision, what each agent costs to build and to run each month.
  • Infosistema products for finance teams include bizSupply for supplier contract renewals and bizAPIs for official Portuguese company data.

Which finance tasks can an AI agent take on?

The ones with a clear reference to check against: an order, a contract, a registry, a bank statement. Here are the 5 we look at first with most finance teams.

Supplier invoices and approvals

The agent reads each invoice from email or the supplier portal, matches it to the order and the goods received, codes it and routes it to the right approver. Clean matches go through; mismatches arrive with the difference already found.

  • Stays with people: approvals above the threshold, disputes and new suppliers.
  • Systems: ERP, purchasing, email, document archive.

Supplier checks

Before a new supplier is created or paid, the agent confirms its company status, tax and Social Security position and beneficial owners from official sources, and attaches the proof to the supplier record.

  • Stays with people: onboarding decisions and anything the check flags.
  • Systems: ERP supplier master, bizAPIs for official Portuguese data.

Contract renewals and recurring costs

The agent finds supplier contracts and subscriptions across mailboxes and drives, extracts the supplier, dates, value and renewal terms, and warns before each renewal so nothing renews by default.

  • Stays with people: keep, renegotiate or cancel.
  • Systems: email, Google Drive, ERP; bizSupply does this as a product.

Bank and intercompany reconciliations

The agent matches statement lines and intercompany balances, clears the routine differences under the rules you set and prepares the rest with the supporting documents.

  • Stays with people: adjustments, write-offs and anything above tolerance.
  • Systems: ERP, bank statements, treasury system.

Month-end preparation

The agent chases missing accruals and documents, runs the checklist, drafts the variance commentary from the ledger and flags what changed against budget and last month.

  • Stays with people: judgments, estimates and the final commentary.
  • Systems: ERP, consolidation and reporting tools, BigQuery and Looker where you use them.

What makes agents hard to run in finance?

Audit, segregation of duties and the fact that every number ends up in a report someone signs.

  • Audit trail. Every agent action (what it read, what it proposed, who approved) is logged, so the auditor can follow a posting from document to ledger.
  • Segregation of duties. An agent has its own identity and the minimum permissions; it can't approve what it prepared.
  • Payment risk. Agents don't change bank details or release payments. Supplier bank-detail changes are a classic fraud route and stay with a person and a call-back.
  • Data quality. Supplier masters and chart-of-accounts mappings are rarely clean. The analysis sprint measures this before anything is built.

How does Infosistema start?

With a three-week analysis sprint on one area, for example accounts payable for one entity.

  1. Week 1: map the processes, approvals and systems, and short-list up to five candidates.
  2. Week 2: score each process for impact and readiness and analyse it step by step, with a baseline of today's volume, time and error rate.
  3. Week 3: estimate build and monthly operation per agent, then recommend agent, agent with conditions, classic automation, or not yet.

For a CFO, the useful part is the number before the decision: each agent's monthly operation (run cost, model consumption with a cap, infrastructure) is estimated in the sprint and reported monthly as cost per completed task.

Which Infosistema products and partners help?

  • bizSupply: finds the contracts in your Gmail or Microsoft 365 mailbox and Google Drive, reads each one for supplier, dates, value and renewal terms, and alerts you 90, 60, 30 and 7 days before it renews.
  • bizAPIs: company status, tax and Social Security position, annual accounts (IES) and beneficial owners from official Portuguese sources, with proof of source.
  • Google CoE: BigQuery and Looker for finance data and reporting.
  • Vesster: governed agents for document verification and fraud detection, with an audit trail on every decision.

What has Infosistema built for finance teams?

  • Cofaco: invoice approval flows: invoices received at 4 sites were scanned at reception and routed through a workflow to managers in different locations, replacing paper sign-off. "Infosistema supported Cofaco in implementing its first BPM with iFlow, having shown to be a reliable partner in this technological area," says João Pinote, IT Manager.
  • Joyn Group shared services: finance and accounting back-office applications migrated to a new platform within a one-day downtime window.
  • Decision-approval workflows at Santander Totta.

Frequently asked questions

Can an AI agent process supplier invoices?

Yes. Invoice capture, matching against orders and goods received, coding and routing are among the best first processes for an agent. Approvals above your threshold, disputes and new suppliers stay with your team.

Will the auditors accept work prepared by an AI agent?

They'll see what they see today, plus more: every document the agent read, what it proposed, who approved it and when. The agent has its own identity and permissions, so segregation of duties holds.

Can an agent make payments?

We don't design agents to release payments or change supplier bank details. They prepare payment runs and flag anomalies; a person releases the payment.

How do we know what an agent will cost before we commit?

The analysis sprint estimates build and monthly operation for each agent before any decision to build, with a monthly cap on model consumption and an alert at 80%.

Does this replace our ERP or our invoice-capture tool?

No. Agents work with your ERP and existing tools through their APIs. If a market product already solves a process well, the sprint says so.
